Job Description:

Duties and Responsibilities:

  • Completes a broad variety of administrative tasks, including the following: assisting with special projects, designing and producing complex documents, reports and presentations.
  • Collects and prepares information for meetings with staff and outside parties; composes correspondence, maintains contact lists for marketing purposes and general business purposes.
  • Serves as primary point of contact for internal and constituencies on all matters, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response and thus exercise judgement.
  • Research and conduct data for review and presentations. Create presentations and other management-level reports.
  • Assist with the development and execution of strong employee communications and events. Organize and present in various media including Excel and PowerPoint.
  • Plan, organize, and coordinate functions and special events including the following: scheduling meetings, drafting agendas, developing, compiling, and distributing presentation materials.
  • Accurately record meeting minutes when required.
  • Plan and coordinate logistics and travel, including expense reports.
  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts, make judgments and recommendations to maintain smooth day-to-day flow of engagements.
  • Facilitate planning and coordination of trade show events.

  • Assists with hiring process as needed by entering in job opportunities, coordinating job postings, reviewing resumes, scheduling interviews, handling orientations, arranging travel and conducting reference checks.
  • Serves as a backup to Human Resources staff as needed for general administrative tasks.

Other:

  • Must adhere to all company and location policies and safety rules
  • Must be able to work extended hours when required
  • All other duties as assigned

Education, Experience, Skills and Abilities Required for Consideration as a Candidate:

(If a degree is required it must be from an accredited institution)

  • Three to five years of experience working as an administrative resource.
  • Must be extremely well organized and have a strong attention for details.
  • Excellent communicator and must work well with all levels of the organization.
  • Ability to handle and maintain confidentiality is needed for this position as well as be a trusted member of the leadership team and HR department.

Additional Education, Experience, Skills and Abilities Preferred:

  • Working in a manufacturing environment
  • Background in supporting marketing communications
  • Bilingual in Spanish a plus
