Job Description:
POSITION SUMMARYResponsible for providing confidential and
administrative support to the Everence Federal Credit Union CEO,
Management Team, and the EFCU Board of Directors. Serves as office
manager of the CU Admin office. Skillfully plans events and
meetings and makes travel arrangements. Accurately prepares
documents and reports, writes communications, manages schedules,
develops presentations, and drafts minutes. Independently manages
and executes special projects. Supports organizational development
efforts. This position will require discretion, initiative,
organization, problem-solving, and flexibility. - -
-RESPONSIBILITIES AND DUTIES
- Works closely with the CEO on administrative activities of the
credit union.
- Coordinates the scheduling and planning of various meetings,
including assisting with agenda development, assembling meeting
packets, and managing meeting logistics. This may include travel to
meetings in other states. -
- Attends and take minutes at board, management, and leadership
meetings, as requested.
- Manage distribution of financials, complaint log, and expenses
to branch managers, Everence, audit, and Supervisory
Committee.
- Assures all official minutes are recorded and filed
properly.
- Runs reports and creates dashboards and graphs to communicate
results.
- Assists with gathering data for exams and audits.
- Maintains filing systems so policies, audits, exams, call
reports, contracts, etc. are maintained in a safe, timely and
efficient manner. -
- Assists with technology set up for meetings including setting
up webinars and virtual meetings, setting up projectors and sound
to ensure a smooth meeting.
- Develops eye catching presentations using PowerPoint.
- Makes updates to the credit union section of the Everence
intranet. -
- Makes travel plans and reservations for management team and the
board.
- As directed, assists the CEO in schedule management.
- Manages tasks related to organizational development efforts
including sending birthday and Christmas cards, managing
recognition program, thank you notes, organizing staff meetings and
training. -
- Manage HR functions: board member updates, make badges, enter
new employees in panel, and manage door lock schedule.
- Oversees general Admin Center maintenance including facilities
and security administration, system inspections, office equipment
service, office supply ordering, and lunchroom supplies and
management. -
- Serves as a liaison with the cleaning service and condo
association.
- Assists with the administration of the MyNeighbor charitable
fund distribution.
- Promotes goodwill and conveys a positive and professional image
of Everence. -
- Performs miscellaneous clerical and administrative tasks.
- Assists all leaders of the administrative center as requested.
-QUALIFICATIONSEducation:1. - -Required: Two-year associates degree
in business, or equivalent experience.2. - -Preferred: Bachelor's
degree in business or communications, or related field.
-Experience:1. - -Two years related work experience required. Three
years of related experience preferred. Additional education may be
substituted for experience. -2. - -Proficiency in the use of
software applications, databases, spreadsheets, presentations, and
word processing required. -Skills and Abilities:1. -Excellent
